Your patients already live on WhatsApp
Text a UK patient a reminder and there's a fair chance they'll skim it. Send the same reminder on WhatsApp and they'll read it, reply to it and sometimes send back a thumbs up.
That's why more dental clinics want WhatsApp inside GoHighLevel. The catch is that it isn't a switch you flip. There's Meta verification, template approval, and getting your practice software to tell GHL when a patient books, cancels or doesn't show up.
I built this end to end for Dr Ogo Eze Clinics, a cosmetic dental practice in London, over 90 days. Here's the setup in the order I'd do it again.
01 Get Meta Business verification done first
This is the slow part, so start it on day one. WhatsApp runs through the Meta Business API, and Meta wants to see that your clinic is a real business before it lets you message patients at scale.
You'll need the clinic's legal name, address and website to match across your Meta Business account and your documents. A mismatch between the trading name and the registered company name is the most common reason verification gets rejected.
Then decide on the phone number. The number you connect can't also be running in the normal WhatsApp app. Most clinics either get a new number or move their existing one off the app.
02 Connect WhatsApp inside GoHighLevel
In the sub-account, go to Settings > WhatsApp and follow the connection flow. GHL walks you through linking your Meta Business account and the phone number.
Once it's connected, WhatsApp shows up in Conversations next to SMS and email. Your front desk replies to patients from one inbox instead of a phone on the reception desk.
03 Write your templates around the patient journey
Here's the part most setups get wrong. They write three generic templates and call it done. Then every patient gets the same reminder whether they're coming in for a check-up or an implant consultation.
Map the journey first, then write a template for each step:
- Booking confirmation, sent within minutes of the booking
- Reminders at 24 hours and 2 hours before, with prep notes for the treatment
- Post-visit follow-up and review request
- No-show and cancellation messages with a rebooking link
- Re-engagement for enquiries that went quiet
- Monthly marketing messages for patients who opted in
For Dr Ogo Eze Clinics in London that came to 48 templates. That sounds like a lot. But the clinic offers composite bonding, Invisalign, implants, whitening and general dentistry, and each treatment needed its own wording. A whitening patient and an implant patient don't need the same message the night before.
Keep templates short and use variables like first name, treatment and appointment time. Meta rejects templates that look like spam or that get the category wrong, so label confirmations and reminders as utility and promotions as marketing.
04 Connect your practice software
WhatsApp reminders are only as good as the appointment data behind them. If your bookings live in practice software and not in a GHL calendar, GHL needs to know when something changes.
Dentally was the tricky one on this project. It sends every change as the same appointment.updated event, whether the patient booked, cancelled or didn't turn up. So the Make.com scenario I built checks which field was filled in (completed_at, cancelled_at or did_not_attend_at), pulls the full appointment and patient record, then updates GHL so the right workflow fires.
Honestly, this step took longer than the WhatsApp setup itself. If your software has a clean webhook for each event, it'll be much quicker.
05 Build the workflows
Now wire it together in Automation > Workflows. Each workflow starts from an appointment event or pipeline stage and uses the Send WhatsApp action with the matching template.
Branch by treatment. On the London build there are 5 treatment branches plus a general fallback, so every patient gets messages that match what they actually booked.
Add a stale lead check too. If an enquiry hasn't booked, the team gets an internal alert on day 2 and day 4, and the patient gets a re-engagement message on day 7. That one rule catches a lot of enquiries that would otherwise just disappear.
06 Reactivate the leads you already have
Most clinics running Meta ads are sitting on a list of people who enquired and never booked. Dr Ogo Eze Clinics had over 3,600 of them with no follow-up at all.
We imported 3,682 consented leads, tagged them by treatment interest and put them into a schedule of 9 monthly WhatsApp campaigns. A re-enrolment check stops anyone getting the same campaign twice.
Consent matters here. In the UK and EU you need proof that each person agreed to marketing messages. If you can't show it, leave them out of the campaigns.
What the clinic has now
Every patient who books gets a WhatsApp confirmation within minutes, treatment-specific reminders at 24 hours and 2 hours, and a follow-up after the visit. Staff send zero confirmation messages by hand. Cold enquiries get caught by the stale lead rule before they're gone for good.
"The system Justine built means our patients are always informed before they arrive, and no enquiry gets missed." — Dr Ogo Eze, Director, Dr Ogo Eze Clinics, London
This won't be the right size for every practice. A single-dentist clinic might need 10 templates, not 48. But the order is the same: verification, templates, data connection, workflows, then campaigns.
