A UK garage group with two sites relied on customers remembering their MOT date. When they forgot, they booked with whichever garage reminded them first.
I built a reminder system in GoHighLevel that texts each customer 30, 14 and 7 days before their MOT is due, with a link to book. Service reminders run from each vehicle’s service due date, and customers due for both get a combined reminder.
The garage’s vehicle data comes from a spreadsheet export. A Make.com scenario reads it, matches each vehicle to the right record, and creates or updates it in GoHighLevel, so new MOT dates flow in without anyone retyping them. Delivered as a white-label build for a UK agency partner.

The garage had years of customer and vehicle data, but nothing used it to bring customers back.

Data Audit
Analysed 8,778 vehicle records. Registrations had 67 duplicates, so each vehicle is matched on its VIN instead, which had none.
One Vehicle, One Record
Each vehicle is its own record in GoHighLevel, linked to its owner by customer ID, so a two-car household gets the right reminder for each car.
Make.com Sync
A scenario reads the sheet, looks each vehicle up by VIN, then updates it or creates it, and marks the row as synced so nothing is processed twice.
Controller Workflow
One workflow reads each vehicle’s dates and routes it to the MOT, service or combined reminder, so customers never get two overlapping messages.
Timed Reminders
Texts go out 30, 14 and 7 days before the MOT is due, each with a link to book, and every message includes an opt-out.
Testing and Fixes
Fixed date formats to UK order, guarded against empty vehicle fields, and reworked bulk imports to fit the Make.com plan’s 10-minute run limit.
