Voice AI Appointment Confirmation
An AI receptionist that books appointments by phone, then calls each client the day before to confirm or cancel. Built in GoHighLevel for a US laser and electrolysis studio.
A receptionist that answers, books and confirms.
A US laser and electrolysis studio wanted calls answered and booked without a receptionist tied to the phone, and fewer empty slots from clients who forgot their appointment.
I set up a GoHighLevel Voice AI agent that answers the studio’s line and books clients into the calendar. It confirms who the caller is before it offers any times, and it books by phone only, so callers are never asked to spell out an email address.
On top of that I built an outbound confirmation call. Twenty-four hours before each appointment the same agent calls the client, asks them to confirm or cancel, and the workflow acts on the answer. If nobody picks up, a text goes out instead.
Quick Facts
Missed calls, forgotten appointments.
The studio needed every call answered and every booking confirmed, without staff spending their day on the phone.
- Calls during treatments went unanswered, and callers rang the next studio
- Clients forgot appointments, leaving empty slots that could have been filled
- GoHighLevel’s standard Call action can’t branch on a “press 1, press 2” answer
- Automated calls in the US need consent language that meets TCPA rules
- The agent had to tell a confirmation call apart from a normal booking call
- Clients who didn’t answer still needed a way to confirm
One agent. Two jobs.
Inbound Booking Agent
A Voice AI receptionist answers the studio’s number, checks the caller’s details, then offers live calendar times and books the appointment.
Confirmation Protocol
Added a separate outbound section to the agent’s instructions, so a confirmation call never falls into the booking flow. Nothing in the existing booking prompt was changed.
24-hour Trigger
A workflow starts from each appointment and waits until 24 hours before the start time, then has the Voice AI agent place the call.
Three Outcomes
The agent tags each call as confirmed, cancelled or no answer, and the workflow branches on that tag.
Cancel and Rebook
A cancellation frees the slot, tells the team, and texts the client a link to rebook at a time that suits them.
SMS Fallback
If the client doesn’t answer, a text asks them to reply YES to confirm or call to reschedule, and a YES reply is picked up automatically.
What makes this system work.
Answers Every Call
The AI receptionist picks up and books, even while the team is with a client.
Confirm or Cancel
Clients answer by voice, and the result updates the CRM without anyone listening back to calls.
Text if No Answer
Clients who miss the call can confirm with a one-word reply.
Slots Freed Early
Cancellations come in a day ahead, giving the studio time to fill the gap.
TCPA Consent
Consent wording was written and approved to meet GoHighLevel’s TCPA requirements for automated calls.
Team Kept in the Loop
Staff are notified when a client confirms or cancels, so the day’s schedule is always current.
Booked, confirmed and followed up.
Losing bookings
to no-shows?
I build Voice AI receptionists and confirmation calls in GoHighLevel that answer, book and confirm, with a text fallback when clients don’t pick up.
